There is no charge for a Basic Listing which includes all the basic data users will need including heading, text, date, venue address with county and postcode, ticket prices, website link, contact details etc. You can also add a thumbnail-sized image for free. We just ask that you let your friends and contacts know of the service. Please note that as of May 2022 we no longer offer the facility to list Virtual Events. If you want to make your entry stand out more or provide further information then you are welcome to do so by upgrading to our Premium Listing option at 5 pounds inc VAT - this is all explained as you go through the Event Entry screens. Premium Listing means you can upload, a linked pdf file (poster or leaflet for example), and an image. Please note that we have pretty strict rules about what qualifies and what doesn't qualify as an event, to ensure quality of results served up to users. You will see more about that later in FAQs. If you want to post an event which does not qualify for a free or Premium listing you are welcome to consider an Advertisement Listing - this gives you all the facilities of a Premium Upgrade, appearing as usual in the results, and in a highlighted box. This facility costs £10 inc VAT per month. If you enter an event which is deemed not to qualify for free or Premium listing you will be sent an email inviting you to opt for a Advertisement if you wish to do so.
Events can be listed at any time up to a year in advance. Events can be of up to 60 days' duration, and the system allows you to select specific dates within that range to ensure accuracy - for example if your event is open only on Wednesdays and Thursdays then click those days on the pop up menu by clicking the Select Dates button.
Your event will be listed immediately in certain local results on a probationary basis. (If this is your first event posting you will need to have responded to the system email confirming your registration details before this happens). It will then be autochecked to confirm it meets our House Rules, classified, and then placed additionally within county and other supplementary listings within a day or so. This staged process ensures checks are done before being shown in sections of the site which are visited by the googlebot and other webtrawlers, but please note that we do not moderate content, organisers take sole responsibility of ensuring the accuracy and appropriateness of what is submitted.
You can use the select dates facility to select the actual dates of your event within the 60-day maximum. If your event spans more than 60 days please mention it in the text. The system will send you a reminder at 60 days, so you can update the entry to show the next 60 days etc. Repetitive single entries for the same event or similar events at the same venue or close by will be rejected. This avoids users seeing the same or similar entries time and again, and also has the advantage that if one date doesn't suit other forthcoming options will be shown. Please note that we do not consider invitations to book ongoing commercial activities such as guided walks, sports training sessions, coach trips, seasonal restaurant offerings, etc etc to be events and such entries will be deleted. Organisers of such activities are welcome to contact us about advertising opportunities.
If your event is much the same every week please don't just repeat similar entries time after time as this will soon annoy regular searchers - remember they get results closest first. Better to pick out a different feature of your some of your most interesting meetings - maybe a different speaker or activity for example - and highlight that in occasional listings. Repetitive single entries for the same event or similar events at the same venue or close by will be rejected.
The system rejects similar repetitive entries for the same venue. This avoids users seeing similar entries time and again if they search for a period longer than a week or so. As you go through the Add Classes screens, you will see where to select a start and end date up to the maximum 60 days apart. You then have two choices: i) If your class is every day just click the every day button or ii) If your class happens one some days but not others (once or twice a week for example) simply click Select Dates; you can then simply highlight the actual dates within that 60-days on the handy pop-up calendar. Either way, the system will send you a reminder after the 60 days is up, and you can then check and update your former entry (we suggest a re-word to keep it all fresh) and then enter the dates for the next 60 day period. This system avoids users seeing the same or similar entries time and again, and also has the advantage that if one date doesn't suit other forthcoming options will be shown.
By all means - to avoid repetition try and pick out features of special meetings rather than say the same thing over and over again. The system rejects repetitive entries. Please do not enter club meetings which are closed to the public.
Yes. Classes are not shown in the main event search results; users simply select "Classes" within the main event results pages to see them. Classes entries remain fully accessible to all the search engines such as Google, Bing etc. If you wish to include your Clubs & Classes entry in the main results then you can upgrade for £5 inc VAT for the duration of the listing. Your entry will then be seen by far more visitors to www.WhereCanWeGo.com, and also provides you with all the Premium listing facilities. The income we receive helps towards meeting our running costs, and allows us to keep basic entries free of charge. Therefore, if you do not wish to upgrade, your free entry will still be shown under Classes.
Yes. You'll see this as an option on the event entry screen. You can fill it in at the time you post the event details, or come back later and do so.
Yes. You'll see where to enter the ticketing url which your ticket agency will supply to you (or you will know if you are handling ticketing yourself) at the time you post event details, or come back later to do so.
Email: If you enter your email address where shown as you go through the event entry screen, it will not be displayed to the public. However, users will be able to contact you by using the Email The Orgainser facility, which will be forwarded on to you by our system. This means you will be sent such messages without the user knowing your email address, then it's up to you if you contact them directly or not. Telephone: If you enter a telephone number on your event details then this will be displayed publicly for people to call.
This facility is available if you upgrade to a Premium Listing. This costs £5 inc VAT, and provides a bold, boxed entry plus the facility to upload a linked pdf file (1MB max), a large j-peg image (max 1MB), just as you wish. You'll see further explanation under FAQ Number 25. Please note the upload option buttons will only activate after payment has been received, so you will need to log in again after you have paid. Please note that basic free event entries include a thumbnail image - the larger one available with the Premium upgrade will be displayed much larger. By way of example, if you are running a Cake Stall, it will be better to pick out one cup cake for your thumbnail, which is shown in the summary of your event, and then consider the £5 upgrade so you can show the whole table of cakes!
No, the system automatically removes the event at midnight on your final day.
The entry screens allow you to use previous venue details - this can save quite a lot of time. It may be possible to accept bulk entries in an Excel spreadsheet, but this needs special attention our end. We can either make a modest charge for this work, although in many cases we can waive the charge if you agree to link your website to ours - links help us get better known and so gets organisers more publicity. Please email us to discuss the practicalities. The spreadsheet is designed to speed up entry of six or more different events at the same venue, or of the same event at six or more different venues. The same event repeating at the same venue should be entered under Add Events in the usual way, where there is the facility to specify exact dates within a 60-day spread

Yes, please keep things up to date. Simply log on again under the Add Your Event button, go to Manage Events then Edit Event, and you’ll find the option to amend Future Events. If you wish to let people know that your event is sold out, postponed or cancelled simply use the 'Event Status' link under Manage Events - your entry will then be shown with a prominent notice in RED.
Please keep everyone informed. If you have to postpone or cancel you can mark your entry with a prominent red status line. Sign in and go to Manage Event then use the Event Status link. You can mark your event as 'Sold Out', 'Postponed' or 'Cancelled' and add an extra explanatory note. These will be displayed in red above the title.

Yes, in two ways. Log on again under the Add Your Event tab, then:
  • If the old Event has passed - recall it and change the details as necessary and submit again
  • If the old Event has not passed and is still valid, don’t recall it for amendment as the original will disappear. You can however make use of the venue details you’ve already entered by clicking on Previous Venue in the Entry Screen - this won’t effect your earlier entries at all.
There is an option to change account details when you log in using the email address you registered before.
On the Login screen there is a "Forgotten your Password?" link. Click here and enter your registered email address. We'll email your password to you immediately.

Please note that we do not consider invitations to book ongoing commercial activities such as guided walks, sports training sessions, coach trips, therapy sessions or treatments such as counselling, seasonal restaurant offerings, etc etc to be events and such entries will be deleted. Organisers of such activities are welcome to consider an Advertisement Listing - this gives you all the facilities of a Premium Upgrade, appearing as usual in the results, and in a highlighted box. This facility costs £10 inc VAT per month. If you enter an event which is deemed not to qualify for free or Premium listing you will be sent an email inviting you to opt for an Advertisement if you wish to do so. Attraction listings are unclassified, undated, and shown permanently. Organisers of such activities are welcome to consider an Advertisement Listing - this gives you all the facilities of a Premium Upgrade, appearing as usual in the results, and in a highlighted box. You can upgrade your event entry by paying a small sum (currently £5 inc VAT) which gives your announcement more impact. Benefits of upgrading are:
  1. a bold, boxed entry making your event stand out in the listing.
  2. the facility to upload a linked pdf file (1Mb max,)if you wish.
  3. the facility to upload a extra .jpg image (max 1MB),if you wish.
  4. ther facility to link to a YouTube video, if you wish.
  5. the facility to create and download a QR code, if you wish, which will be useful on your printed posters and fliers. (QR Codes are Quick Response Codes - black modules arranged in a square pattern on a white background which can be scanned by smart phones which then link the phone automatically to your event entry on www.WhereCanWeGo.com)
You'll see this option as you go through the event entry screens, or you can choose to upgrade later by logging on as usual: click "Manage Current Events" then "Edit Event". Please note the upload option buttons will only activate after payment has been received, so you will need to log in again after you have paid. Premium status shows from the moment you enter event detail until the final date of the event.
Please note that Premium status cannot be extended beyond the final date you chose at the time of the upgrade; if you want to apply the upgrade after that (ie to an ongoing or regular event) then a further payment will need to be made. Please note - if you posting a class and would prefer it to appear in the main event listing rather than in the separate Classes listing them your Premium upgrade will include that beneficial appearance in Events.
Our system will auotmtaically Tweet details of your event to people with Twitter accounts who have asked to be kept informed of events local to them. We send out such Tweets a couple of days before your event. You can of course Tweet to your own contacts if you wish.
Most events in our listings have been entered using the 'Add Events Free' tab on the home page - basic entries are free, there is the chance to upgrade to Premium for £5 inc VAT. These events, whether upgraded or not, are shown on a closest first basis to where the user chooses - usually their home town or county or current location - and by date. This works really well, but on occasions it can be useful to widen the reach.

A number of organisers mentioned that they would appreciate the facility to display event details earlier and to a wider audience, to reinforce their regular event entries. An example might be the OpenHouse scheme in London where hundreds of buildings not usually open to the public threw open their doors for a day - clearly of interest to people outside London as well as within. Another example could be a charity hoping to attract participants from all over the country to a fund-raising event in Birmingham...obviously posting the event date and details in Birmingham is essential, but it would be useful if details could also be seen beforehand in Newcastle, Portsmouth, Norwich etc etc! Maybe Beach Motocross in Weymouth or a Garden Show in Peterborough - both attracting advance group bookings from people hundreds of miles away. Hence the development of Special Announcements. Special Announcements: - are displayed to all users within about a 20 mile radius of the event venue - are shown in prominent tinted boxes within the regular results pages. - offer all the usual Premium upgrade extras A Special Announcement costs £15 inc VAT and lasts until your event closes.

You can post individual events in the same way as any other Organiser. Various different search options are available: By postcode, city, town, or village ~ closest-first On the home page, just enter what area you're interested in by full or partial postcode, city town, or village. You can also select dates if you wish. By default you'll find Next Four Weeks has been ticked already. Clicking on the Details button at the right of each result, or on the event heading, will take you to further details about that event. When you get to the results page, you will see buttons to change your sort from closest-first to date order or show your results on a map. By Quick Link to any city, town, or village You'll see this facility half-way down the home page. By Quick Link to any county ~ events calendar by county You'll see this facility further down the home page. This search presents events on a county-wide basis within a monthly calendar. Please be sure to check with the organiser of the event before travelling far or making arrangements of any kind, or indeed parting with any money. We rely on organisers to post details in line with our House Rules, whilst the vast majority use the service correctly it is always worth checking to be sure. Clicking on any event entry will take you to further details. If the event organiser has provided such details, you may find a telephone number or a 'Contact The Organiser' button so you can send them an email. You may also find travel directions and a map. You may even be able to buy tickets. Please be sure to check with the organiser of the event before travelling far or making arrangements of any kind, or indeed parting with any money.
Because none has been posted! Please encourage any organisers you know to put their events on - there's no charge and it'll help their publicity and appeal to other searchers like you! Hundreds of events are posted every day so please visit again soon.
Yes, just click on the Alert tab, give us your email address and the distance you are prepared to travel and we'll let you know every now and then what's been posted which might interest you. You can stop these alerts at any time. And we will never make your email address available to third parties.
You can opt to browse local Attractions or regular Classes if you tick the appropriate button within your Events results page. Please remember that Attraction entries do not include date information, as they are permanent listings, so be sure to check opening times before you travel.
Club meetings which are open to the public are included in the main Events listings. Classes have their own listing, though some are included in the main Events listing as well. Simply click Classes on any Events listing pages. Club and class listings often span a longer period than one-off events, so please be sure to check times and days with organisers before you travel.

The only payments you make will be the ones you authorise at the time through a secure third-party service at arms length from us. There are no late or unexpected bills, commitments, invoices of any kind.

You are welcome to link to our site provided the material on yours is non-competitive and suitable for our family audience. We are always happy to discuss an exchange of links as well. We can often supply event data in a format you want, this can increase the appeal of your own website for your own users. You will find the options described under the Webmasters tab on the home page, the simplest options require little or no technical skill. Any data supply is covered by our standard data supply agreement which is available upon request or displayed under the Webmasters tab off the home page.

It is our practice to assume that you 'opt-in' for e-mail communications from us, as there is no other practical way to offer or manage the services you choose to request. However, we are pleased to provide a simple and straightforward facility to remove yourself from this 'opt-in' at any time.

There are three distinct circumstances in which we may store and use personal data. They are described here, together with details of how you can change your preferences.

1) You can choose to use the WhereCanWeGo service to promote your events, clubs, classes, or attractions. This involves registering your email address as an Organiser so we can confirm your registration details and keep in touch with you about matters specifically related to your account in the future. It is not possible to use the service as an Organiser unless we have your permission to use your details in this way.

If you wish us to remove these details, and thereby close your account with us, please email us at info@wherecanwego.com with the words 'CLOSE MY ACCOUNT' in the subject line. You will receive a confirmation email from us to confirm that your account has been closed,and you will not hear from us again.

2) Registered Organisers described in 1) above will receive newsletters and notices of a general nature from time to time which reflect changes and developments to the WhereCanWeGo service which may impact on or be of interest to all users.

If you wish to stop receiving these newsletters and notices of a general nature, but wish to remain as a registered Organiser so you can keep using the WhereCanWeGo service, please log into your account using your registered email address and password; you will see the facility to opt out of these communications under Amend Account Details.

3) You can choose to sign up for Alerts or Reminders, which send information about upcoming events to you through an email address which you supply.

If you wish to stop receiving these Alerts or Reminders, please log into your account using your registered email address and password; you will see the facility to stop the service.

We may store this personal information in our secure central server and or on office computers. We do not share it with third parties, except as described in this policy.

Please note that under the GDPR regulations we are obligated to keep a log of changes which we store on a management computer, which may also hold back-ups of data for up to three months though this is not used for normal operations; other backups will be held for shorter periods on secure servers at our contractor to help provide continuity of service in case of disaster.

Organisers who choose to upgrade their entries will pay a fee to do so; we use the services of PayPal to collect those payments from credit or debit cards or from a PayPal account. We do not receive any details of those payment methods (such as card numbers etc) from PayPal, but we do store the fact that payment has been received, you can check those records we hold under your account details.

The WhereCanWeGo Ltd web site contains links to partners, clients, and other sites of interest to our users. WhereCanWeGo Ltd does not control the privacy practices of these other sites. You should make sure that you know when you have left our web site and, if the web site you visit collects personal information, that you have read that site's privacy policy.

WhereCanWeGo Ltd protects your personal information with several security measures, but, as with all systems, these can never be considered totally effective.

WhereCanWeGo Ltd does not provide information about you to third parties, except in the reasonable course of business as required to satisfactorily complete your instructions. To be a comprehensive guide to what's on throughout the country- ranging from the smallest village show or sale to events of national prominence. All are listed (without fear of favour!) closest first to potentially cut down on wasted travel.

WhereCanWeGo.com aims to:

  • Encourage people to be active and involved in their communities and interests
  • Provide a one-stop source of comprehensive and up-to-date family-orientated information on events, presented closest-first.
  • Allow organisers of events of all sizes the opportunity to promote their events free of charge.
  • Remove once and for all the excuse of saying 'There's nothing to do around here...!'
  • Posting events as early as possible helps avoid clashing arrangements nearby.
  • WhereCanWeGo's search facility means visitors to every area (on holiday, staying with friends, re-locating etc) can check what's on as easily as near their own homes.
  • WhereCanWeGo was founded in 2004 by John South, an IT consultant, and Kimble Earl, a marketing specialist. The service was launched publicly in the summer of 2005 after a year or so of research and development.

    Says Kimble: "We all know the feelings: Saturday turns out wet and the family is bored. We're on holiday and have a free day. It's a quiet moment in half-term and we just want something interesting to do. We want to plan our long weekend away.

    Until now finding out what is on within sensible travelling distance is a problem. Local newspapers - if to hand - may only have limited information from local event organisers who pay for advertising space.
